Nov. 2019 Board of Directors Meeting

BOARD OF DIRECTORS MEETING MINUTES

 A special meeting of the Board of Directors of Family Motor Coaching, Inc. was held on Wednesday, October 30, 2019, via teleconference. The National President and Secretary were both present. National President Jon Walker called the meeting to order at 11:01 a.m. EDT.

John Reynolds moved to waive the 2-day meeting notice. The motion was seconded and carried.

President Jon Walker reported that the purpose of this meeting was to discuss recent developments concerning contract negotiations to stage the association’s 102nd International Convention & RV Expo at the New York State Fairgrounds in Syracuse, New York, July 29 through August 1, 2020.

Teleconference Rett Porter moved to withdraw from contract negotiations to hold FMCA’s summer International Convention at the New York State Fairgrounds in Syracuse, New York, July 29 through August 1, 2020, due to an unsigned final contract and projected over expenditures; and to immediately charge the Convention Committee to select an alternate location. The motion was seconded.

 Jon Walker called on Rett Porter to present an overview of these developments to the Board of Directors. It was reported that during negotiations, fairgrounds staff missed two deadlines over several months to submit a signed contract for the venue. It was stated that FMCA cannot wait any longer and must move forward with event planning. It was also reported that a detailed review of the Syracuse convention budget was projecting a significant financial loss in addition to the loss that was sustained after the Minot, North Dakota, convention. It was noted that venues that have the potential to make a profit should be selected. It was also noted that the only prepaid convention expense for Syracuse was for entertainment, and there are no other contractual obligations.

It was noted that board member Don Schleuse joined the meeting.

 Discussion was held regarding possible alternate locations that included Lincoln, Nebraska; Sedalia, Missouri; Hutchinson, Kansas; Tulsa, Oklahoma; and Gillette, Wyoming. It was stated that the Northeast Area may still be the host area for this convention.

FMCA's Board of Directors has voted to withdraw from contract negotiations to stage the association's 102nd International Convention & RV Expo at the New York State Fairgrounds in Syracuse, July 29 through August 1, 2020. After many months of waiting to receive a contract for signature, the board determined that the time had come for FMCA to look for another location to stage this event. FMCA officials are currently busy vetting other sites for the association's 2020 summer convention and hope to have an announcement about a selected location in the coming weeks. We are sorry for any inconvenience this may cause members. The minutes from this meeting are incorporated in this mailing.

Chapter Fair and Block Parties in Tucson! Registration will open in January 2020. Plan to sign up to participate in the Chapter Fair and to host a Chapter Block Party.

Please remember to keep our chapters active! Chapter secretaries received a certification mailing last month from FMCA that included a chapter member roster and certification forms. Please assist your chapter secretary in completing and returning the forms to FMCA by December 31, 2019.

If you haven’t seen the chapter videos on FMCA.com, take a minute to watch them. You can find one on the “Find a Chapter” page under the Chapters tab. You can also check out the two chapter-related videos on the Structure page under the Chapters tab. Remember, you can always show these to help recruit members. There are also FMCA RV Club videos at YouTube.com/fmcaonline. Check them out, too.

The votes have been tabulated for the election of FMCA’s Review Council members for the 2019-2021 term, and the results are as follows: Herman Mullins, F302225, Chairman; Andy Balogh, F316832; Dennis Ducharme, F402669; Paul Mitchell, F165576; and Jerry Work, F246153. I would like to thank all of the candidates who volunteered to serve. The council will be evaluating the demographics of FMCA’s areas in 2020. Please see the enclosed flier for additional information.

The dates and locations of other FMCA events are available in Family RVing magazine and on FMCA.com. Submitting your chapter rally information for publication is quick and easy with the online form. Be sure to check which of these events fit into your travel plans.

Please note that the FMCA national office will be closed on Thursday, November 28, and Friday, November 29, 2019, for the Thanksgiving holiday. The office will also be closed for the Christmas and New Year holidays from Tuesday, December 24, 2019, through Wednesday, January 1, 2020. The office will reopen on Thursday, January 2, 2020.
